Oral Presentation: Oral presentations can include intensive research topics, theoretical, professional or private practices. Speakers with a 30-minute speaking time should plan to speak for 20-25 minutes, and keynote speakers should plan to speak for 40-45 minutes.

Workshop: Also for the workshop speakers, the topic of the speech is the same as the oral presentation, with specialist technique and a more detailed presentation. The general duration of the working meeting is about 45-50 minutes. Interested participants can join their team and present the workshop with their research coordinators after registering with group exemptions.

Poster Presentation: The presenters have about 5-7 minutes to present the poster with questions and answers. Judges may ask questions while evaluating the presentation. It is an opportunity for young scientists to learn from the recent discoveries of their peers and increase their capacity as multidisciplinary scientists. Posters are 1x1 M paper versions.

Webinar: The online presentation is intended for interested participants who cannot attend in person due to scheduling conflicts or other commitments. With this option, the presenter can record their presentation and their presentation will be presented in the webinar presentation session.

E-poster: An e-poster is also similar to a webinar presentation. In this session, their presentation will be published as a poster on the conference website and a speaker abstract will be published in the DOI conference proceedings and journal.

Exhibition: The CARDIAC SURGERY 2025 provides an opportunity to showcase the products and services of commercial and non-commercial organizations such as pharmaceutical manufacturers, clinical trials, management consultants, pharmacists, sales representatives and equipment manufacturers.

Presentation Requirements:

Authors presenting at the conference are responsible for covering their own registration fees, travel arrangements, and accommodation costs. Once an abstract is accepted, authors will receive a confirmation email with detailed instructions on the registration process.

All accepted abstracts will be included in the conference proceedings and made available to participants during the event.

If a presenter is unable to attend, they must ensure a qualified colleague or substitute is arranged to deliver the presentation on their behalf. In such cases, the conference team should be notified as soon as possible to facilitate the necessary changes.

Submission Categories:

  • Oral Presentations: These will be assigned 30-minute time slots and grouped into sessions based on thematic relevance.
  • Keynote Presentations: Each keynote will be allocated 45 minutes.
  • Workshops and Special Sessions: These will last 60 minutes, allowing for in-depth discussions.
  • Symposia: Each symposium will be given 60 minutes, followed by a 5-minute Q&A session.
  • Poster and E-Poster Presentations: Graduate and Master’s students can submit their work for consideration in these categories.
  • Young Researchers Forum (YRF): PhD students are encouraged to submit abstracts for the YRF, which includes brief oral presentations, as well as for poster and e-poster presentations. The YRF is designed to highlight early-stage research from PhD candidates.

Young Researcher Forum – Nomination for Outstanding Thesis Presentation:

The Young Researcher Forum at CARDIAC SURGERY 2025 will showcase up to 25 exceptional presentations from Masters, PhD, and postdoctoral candidates. Presenters will have the opportunity to share their thesis work and engage with a global audience of experts.

Eligibility:

  • Open to young investigators, postgraduate students, post-doctoral fellows, trainees, and junior faculty with a minimum of 5 years of research experience.
  • Presentations must align with the scientific sessions of the conference.
  • Each participant may submit only one paper (as first author or co-author).
  • Age limit: Under 35 years.
  • All submissions must be in English.

Visa Application Centres (VACs)

VACs are authorized service providers that assist with:

  • Filling out application forms.
  • Answering queries.
  • Ensuring applications are complete to avoid delays or refusals.

VACs also handle biometric submissions and securely forward applications to visa offices. However, VACs do not process visas or influence decisions.

Processing Time:

Visa processing times vary by location and season. Apply early and ensure you submit a complete application with all supporting documents. For current processing times, visit the Japan Consulate website.

Schengen Visa Information:

Most attendees will need a short-stay Schengen visa (Type C), allowing you to stay for up to 90 days within a 180-day period. Ensure you have:

  • A valid passport (valid for at least 3 months beyond your stay).
  • Proof of accommodation, conference registration, and sufficient financial means.
